OFFICE HOURS, DRAW SELECTION, FEES & PAYOUTS


 – PRE-ENTRY ONLINE at ROCKINGW.COM –

ONLINE PRE-ENTRY REQUIRED FOR ALL EVENTS!
All contestants MUST enter using the online entry form, even if entering on-site the day-of. This is to ensure that the waiver and hold harmless agreement is completed and signed.
On-site entries in any event will be charged a $10 late fee per entry. Late breakaway and barrel racing entries will be added to the bottom of the draw.

Office hours for each day will be posted prior to the event.

All settlements on entry fees MUST be made prior to the start of an event. All entries to be paid IN CASH at the event.

The office will be open to receive Charity Race pledges at any of the designated office hours posted. Pledge forms must be handed in complete with ALL funds collected prior to a contestant participating in their respective event(s).

Anyone who collects pledges intending to compete in the jackpot but ends up not able to attend is fully responsible for the funds collected and is required to submit the pledges to South Central Cancer Resource on their own. We are not responsible for any funds collected and not remitted to us or to SCCR.

All draws will be made by random selection on Thursday, June 11th and posted Friday. Any entries after June 11th at 12 NOON CST will be considered late and subject to the $10 late fee per entry.

Payouts must be collected in person at the event when they have been made available. Any unclaimed payouts will go into the prize fund following the event for next year.  We will not send any unclaimed winnings to contestants after the event. No exceptions. If you cannot claim your payout in person at the event, you may have someone claim it on your behalf. We are not responsible for any payouts or prizes given to another person on your behalf once they have left our possession.

FEES OVERVIEW – what the fees are and why

Entrance Fees
Each event has its own applicable entry and additional fees at outlined under each event. These funds are directed towards the payout and any % held back is to pay for either the livestock used in the event or to pay for expenses necessary to produce the event. 

Administration Fees
All contestants will pay a $15 daily administration fee. This is one fee per individual contestant, per day. This fee is used to supplement event expenses, which includes (but not limited to) a grounds fee, rentals, fuel, etc.

Photographer Fees
All contestants will pay a photographer fee of $20 per person, per day. Contestants will receive ALL the photos taken by photographer, Rick Hiebert – Action Plus Photo for that price.

Photos which may be taken during the Saturday night Warm Up Jackpot are not included in the weekend fees but will be available for purchase. If Action Plus Photo will be photographing the Warm Up Jackpot, he says it will be to practice creative shots rather than guaranteeing all contestants receive photos of their runs.

Late Fees
Pre-entry makes this event scheduling and timing run much smoother and is far more efficient for our office but we do understand some people make last minute decisions to enter. Late/on-site entries will be accepted with a $10 late fee per entry.
 
LOCATION, PARKING, FACILITY AND COMPETITION RULES

Event Location
Rocking W Ranch, Morden, Manitoba
The location is available on Google Maps and is easy to find! Please see our Facebook page for directions and a parking map.

Parking & Stalling
Contestants must park in the designated areas shown on the parking map.
Contestants must tie to their trailers for night or use self penning, providing it is in good condition and safely secured to their trailers. The size of penning must be kept to a reasonable area, not limiting space for other contestants to park efficiently. Rocking W Barrel Racing Productions is NOT responsible for any horses injured on the premises whatsoever, including those injured from escaping self penning.
There will NOT be box stalls available to contestants. Corrals may be available but are not guaranteed as they are designated for boarded horses at the ranch. Whether any corrals will be available will depend on the number of boarded horses at the time of the event.

Facility Rules
NO DOGS PERMITTED AT THE EVENT!! Please arrange to have your travelling partners stay with a caregiver this weekend. Any dog travelling partners brought to the event, must be tied and remain at your trailer. WE ARE NOT RESPONSIBLE FOR DOG FIGHTS. The ranch is home to its own dog and though she is generally easy-going with strange dogs, it is her home and her domain.

As a common courtesy, we ask that the ranch be left in the condition it was found. That means we will be requiring you to:
  • Clean up after yourself! Please place any garbage in garbage bins and clean up all the hay and manure around your trailers. Loose manure can be spread out. Any large piles of manure and/or hay should be cleaned up and taken home.
  • We will have volunteers monitoring the cleanup of the parking area following the event. Please make their job easy and make sure they don’t have to ask or remind you to clean up.

Team Roping Rules
- A broken barrier is a 10 second penalty.
- Legal head catches: slick horns, half head and around the neck.
- Single leg catches by the heeler is a 5 second penalty.
- We will be flagging on the heels.
- If the header has a front leg, steer or horse, in their head loop, it will be a no time.
- If the steer makes it to the end of the arena, the run is over.
- All decisions of the flagger are final.
- Headers are responsible to make sure the arena is clear before nodding for their steer.
- Teams must follow their steer to the stripping chute.

Breakaway Roping Rules
- Bell collar is the only legal head catch. No other appendages of the calf (such as a leg or tail) can be in the loop when it breaks from the saddle horn.
- Ropes must be tied to the saddle horn of contestant’s saddle with nylon string at the VERY end of the rope. A cloth no shorter than six inches (6”) must be tied to the end of the rope.
- Only 1 loop can be carried. A dropped loop counts as a thrown loop.
- A broken barrier is a 10 second penalty.
- No time will be given if the contestant breaks the rope by hand or touches the rope or string after at a catch has been made.
- If the calf makes it to the end of the arena, the run is over.
- All decisions of the flagger are final.
- Ropers are responsible to make sure the arena is clear before nodding for their steer.
- The roper must follow their calf to the stripping chute.
- If a roper fails to enter the box when called for, that roper forfeits all money and prizes.

Barrel Race Rules
- Pattern is run in a cloverleaf, either to the left or right barrel first.  Pattern will be set best suited to arena conditions. 
- Pee wee pattern will be smaller than the regular competition pattern and measured off the full pattern.
- Knocking a barrel is a “no time”. 
- There is no penalty for losing your hat.
- Helmets are not required for any age but strongly encouraged for pee wee and youth riders.
- The event will have wings set up with an open mouth to the arena. The gate to the holding area behind the wings will be closed for the duration of the section of barrel racers. No one in or out after the runs start except in an emergency in which case, the current section will hold competing until emergency is resolved.
- Circling after passing through the wings will NOT be permitted.
- Contestants are asked to complete their run at competition calibre. All contestants must at least trot the pattern. Pee wee’s are asked to complete their run at a safe and controlled pace. Leadline is also permitted.
- A contestant’s run will be disqualified for going off (breaking) pattern.
- A “leader” horse may not enter through the mouth of the wings when helping a contestant get into the arena.
- We enforce a “3 Call Rule”.  If the contestant hasn’t entered the arena after the 3rd call (approx. 30 seconds between calls), we will roll to the next entry.  No re-run will be permitted on rolled entries.  Contestants must start their run within 30 seconds of entering the arena or they will be rolled as well.  NO REFUNDS on entry fees to rolled contestants.
- This event requires western dress code for both the competition and the awards.  Contestants MUST wear western hat or helmet, long sleeve western shirts, jeans and boots.
- Setting a barrel pattern will not be permitted during open riding. Riders are NOT permitted to practice the marked pattern without barrels.

Misconduct
Any of the following actions may result in suspension or disqualification from this event.

Rocking W Barrel Racing Production’s event organizers will not tolerate any form of misconduct and the consequence for any of the following may result in disqualification from this event.  We retain the right to disqualify based on any form of misconduct the first time it is witnessed by any of the event’s staff or organizers if we feel it is necessary.  We absolutely will not tolerate any such behaviour, including the following but not limited to:

- Using abusive, racist or offensive language in any capacity by any individual competing in or attending this event.
- Attempting to threaten, bribe, influence or harass any Rocking W official or volunteer, representative from South Central Cancer Resource board member or volunteer, sponsor, contestant, family of contestant or community member.
- Abuse of a horse in any way is strictly prohibited! Reasonable use of tack and equipment, whips, crops, over-under’s and spurs is allowed but any excessive use will be addressed accordingly and can result in disqualification at the event producer’s discretion.
- Competing under the influence of drugs or alcohol will not be tolerated.
- Any other conduct that is not in the best interests of the event, Rocking W Barrel Racing Productions, South Central Cancer Resource, sponsors, competitors, their horses and spectators or community members.

Waiver & Liability
All contestants must agree to the event’s terms and conditions and sign the provided waiver. All online entries will have an electronic waiver. The terms and conditions, hold harmless agreement and liability waiver for this event are binding. If you do not agree to and sign, you will not be permitted to compete.
